This page explains how you can ask for your personal data held in SB AURA to be deleted, including information from Facebook and Instagram lead forms.
If you enquired or applied to an institution
If you sent an enquiry to, filled a form for, or applied to a college, university or school that uses SB AURA (including through a Facebook or Instagram lead form), your record belongs to that institution. The institution decides how it is used and kept, and SB AURA processes it on the institution’s behalf.
- Contact the institution – its admissions office or the privacy/grievance contact in its privacy notice – and ask for your data to be deleted.
- We will assist it. On the institution’s instruction, SB AURA helps it find your records and erase or suppress them.
Or write to us
You can also email [email protected] with the subject line “Data deletion request” and include:
- your full name;
- the mobile number and/or email address you used; and
- the name of the institution (or institutions) you enquired with or applied to.
What happens next:
- We verify your identity. We do not disclose or delete records without checking that the request comes from you or someone authorised by you.
- We forward your request to the institution and act with it. Where the institution controls your record, we pass your request to it and carry out the deletion on its instructions. Where SB AURA is itself responsible for the data (for example, a demo request or enquiry you made to SB AURA directly), we act on your request ourselves.
- We confirm to you within 30 days of verifying your request.
What may be kept
Deletion is subject to legal and practical limits. Some information may be kept, secured and not used for routine purposes, where:
- the law requires it to be kept – for example fee, payment and receipt records, tax records or statutory admission records the institution must retain;
- it is needed for the establishment or defence of legal claims, under a legal hold, or to preserve evidence of a security incident;
- it sits in backups – backup copies are not edited individually and expire on their normal backup rotation cycle.
Where deletion is not possible, data may instead be irreversibly anonymised.
Removing SB AURA’s access in Facebook
If you connected SB AURA to your Facebook account (for example, as an administrator of an institution’s Facebook Page), you can remove its access at any time:
- In Facebook, open Settings & privacy › Settings.
- Go to Business integrations.
- Find SB AURA and choose Remove.
Removing access stops SB AURA from receiving new data through your account. It does not by itself delete information already received; to have that deleted, follow the steps above.
If you only filled in an institution’s lead form on Facebook or Instagram, you have not given SB AURA access to your Facebook account; contact the institution or write to us as described above.
